Executive Board Meeting
Utah State University
November 13, 1999
Called to Order - 11:40 a.m.
Attendees: Aaron Seifert, John Bensen, Kathi Waddle, Kimbi Sigle, Eric Geedey and the brothers & sisters of Iota Iota, Theta Eta and Theta Pi.
Officer Reports:
Treasurer: Even though Richard could not make it to the meeting, he did let us know that we have money to help Theta Eta and Theta Pi host a reception after the concert.
Today is also Richard's birthday. Eric moved to call Richard later today and sing happy birthday. Kathi seconds. All approved. Motion passes.
Secretary: The Fanfare is in the works. We have come up with a topic for this edition. We have a tentative publication date of December 1st. Eric will be working on an article that would be appropriate for submission to other district alumni publications and the National publications (possibly the USU adoption.)
Eric brought up the idea of a WDJAA logo contest (will be discussed in new business.) Eric is working on building a database for our members so we can keep track of all members (past and present.) Once we have a logo we will be working on membership cards and stationary.
VP of Projects: Kathi distributed the adoption questionnaire to the Iota Iota and Theta Eta chapters for our meeting this weekend and received good response.
Kathi has been working on perks to our membership, ideas and research have uncovered the following: 10% discount cards with Days Inn and discount cards with Dollar Rent-a-Car, which will be distributed with the Fanfare.
The pen pal participants were passed on to Belen Torres-Gil for coordination with the active members. Belen will post on the list serve.
Kathi has a sample flyer from the SWD Alumni Assoc. that they used at convention. She brought up the idea of having WDJAA ribbons for our members to wear at convention. Kathi is still looking into activities for convention including a lunch function. Shall we have a root beer keg and vanilla ice cream for the reception? Kathi and Kimbi will work on an instrument donation service project to tie in with convention. This may become an annual event.
Personalized WDJAA mailing labels? Social event - Catalina? Ski trip?
Local events - we need non-officers to volunteer to help coordinate a local social event. An announcement will be placed in the Fanfare.
VP of Membership: John is redoing the membership packets, which is half done and will be completed by the Fanfare publication. He is still working on the Top 10 List.
We need to form committees so we can involve our members more.
The Washington Alumni Association formation has fizzled.
It was suggested that we add a place for a flat donation on the WDJAA Membership Form.
Discussion on reaching out for our other alumni, the 30+ers. John can direct chapters to work with their school resources, i.e. the Band Director, Music Department Office and/or Alumni Director, to locate more alumni. Kimbi brought up the
3-R's (Recruit, Retain & Retire.)
We need to publicize more our support of the NIB participants at Western District Convention.
President: Aaron is working on any alumni involvement that is needed by the WD officers at the Leadership Conference or State Days. Also trying to involve more members in the Adoption Program.
Aaron is still maintaining the websites for the Western District and WDJAA.
Aaron is also working on general promotion ideas for WDJAA and keeping the other officers in line.
Old Business
Membership Cards - We will finalize with the new logo and will possibly include discounts available to members on the back. Cards will roll out with the 2000-01 membership.
Pen pals - The deadline to sign up is November 15th.
New Business
Logo Contest - Announcement will be placed on the WD List serve, website and in the Fanfare. Contest is open to any WDJAA member or active member in the Western District. The WD Governors, NAA WD BOD and the WDJAA officers will judge the logos. The deadline for submission is March 1, 2000. The winning logo will be unveiled at the 2000 WD Convention in San Luis Obispo. The winner will receive one year of WDJAA membership free.
The needs of the reception and lunch need to be passed on to WD officers for inclusion in the February 15th meeting.
Communication - Make sure we use all that is available to us: mail, e-mail, and phone. Be sure to keep each other up-to-date on goals and deadlines.

Meeting kinda ended around noon on Saturday. Meeting officially adjourned at 3:15 p.m. on Sunday, November 14, 1999 close to
Lee's Ferry, Arizona, while traveling in
Aaron's car back to Flagstaff, AZ.
