TBS CFR Chapter Packets

The National Chapter Field Representative (NCFR) is the principal point of contact with all chapters for the National Council. She/He travels around the nation to conduct field visits with all Chapters and serves as a vital member of the National Headquarters Staff. The NCFR also assists the National Executive Director and National Council with many special projects. Other responsibilities include developing and using necessary computer skills in order to produce or create forms, handbooks, special programs, and bulletins through the use of desktop publishing applications.

By making visits to chapters, the National Chapter Field Representative provides the most direct and most vital link between the Chapter and the National Organization. During the visit, the National Chapter Field Representative helps to identify chapter dynamics and works to create new and specific goals. The NCFR tries to guide the chapter and its members to strive for and realize the objectives of Tau Beta Sigma Sorority.

To assist the National Chapter Field Representative in doing her/his job, it is necessary for the chapter to be prepared for the visit. The following expectations should be met:

Expectations

Set your schedule ahead of time! Have a schedule set prior to the visit based on the sample schedule that will be sent by the National Chapter Field Representative, including all meetings and activities.

Chapter Secretaries (Recording, Corresponding, Alumni)
Chapter Treasurer
Any other Officers your Chapter uses
Special meetings with any member that requests one

Be Prepared!

Determine the housing arrangements for the National Chapter Field Representative during her/his visit.

Complete and return the National Chapter Field Representative Visitation Reply Card by the deadline.

Have the Chapter President confirm the visit and take care of all details (questions, directions, etc.) by e-mail and/or phone immediately after receiving the information packet from the National Chapter Field Representative.

Have the Chapter President read and immediately hand out the enclosed officer surveys from the information packet sent by the National Chapter Field Representative to the appropriate officers to allow them to prepare for the visit.

Have a copy of the Chapter Constitution and/or By-Laws and Membership Education Program available for the National Chapter Field Representative to review and take back to the National Headquarters for the Chapter's file.

Provide a one-page chapter history for the National Chapter Field Representative to place on file in the archives at the National Headquarters.
