Communications Committee

1999 Final Report

The Communications Committee was charged with the following:

    1. Discuss communications between chapter/chapter, chapter/district officers, chapter/nationals, and chapter/alumni.
    2. Discuss what should/needs to be communicated between the above.
    3. Decide which forms of communication are most effective and should be used.

Because this was the first time this committee has ever met, there was no previous report. The committee was mainly a discussion group, though we did come up with a few charges and recommendations that will be mentioned later.

The committee discussed ways in which chapters communicated with each other. It was concluded that most communication occurred through written letters and e-mail. Chapter letters shared current events, fundraising and service ideas, as well as inform ation regarding upcoming degrees. The committee suggests writing these letters in a more one-on-one basis instead of writing one letter to the entire chapter. We should also not assume that every person in every chapter has an e-mail account.

Our committee expressed concern for our sisters of Eta Eta at Central State. We recommend that each chapter in the district make an attempt to reach out to them.

Although it was not a direct charge to the committee, the subject of sister chapters came up. It was the opinion of the committee that having only one sister chapter might make communicating between chapters easier.

It was the opinion of the committee members that communicating with alumni can be a difficult task for many reasons. Regardless of the reason, we feel that chapters should encourage their alumni to be as involved as they want to be. Chapters should g ive their alumni opportunities to get involved in the active chapter and look to alumni as a resource.

The committee had concerns with communication between district and national councils and the individual chapters. These included such issues as sending information out in a timely manner in order to meet deadlines, providing the councils with feedback from chapters, and making sure mailings have correct addresses.

After discussing our separate charges, the committee spent a few minutes with Kappa Kappa Psi’s communication committee to discuss communication between the two organizations.

The committee has the following charges and recommendations:

We charge next year’s Programs Committee to evaluate the practicality of having two sister chapters.

We recommend that each chapter encourage their alumni to form an alumni association or to participate in already existing alumni associations.

We charges the district council to get all pertinent information mailed out to chapters 2-3 weeks before deadlines as well as providing a follow up e-mail or phone call.

We recommend that each chapter communicates with the district and national officers when deadlines or information is unclear.

Concern arose about the many deadlines chapters must meet each academic year. We charge the North Central District representative to bring our concerns to this year’s National Convention for discussion and possible consolidation of deadlines.

The committee charges next year’s communications committee to meet jointly with the Kappa Kappa Psi communications committee to discuss communication between the two organizations.

Delegates are being asked to rank their chapter’s most effective and reliable forms of communication. We charge the district council to compile these results and distribute them to the chapters by May 1st. This will help in chapter communi cation.
