Convention Site Committee Report
Greetings from the Joint Convention Site Committee. The Convention Site Committee would like to thank Jen DiBenedetto, Jason Dawdy, and Michael “Tex” Lee for their outstanding advice. We would also like to thank Kathy Dodd for diligently taking notes.
The Committee was charged with reviewing the bids for the 2001 Convention and selecting a slate. The Committee conducted a question and answer period with the bidding school. The Committee also thoroughly examined the school’s bid. The Committee also discussed the use of the NCD District Convention Bid Checklist.
The Committee charges the Joint District Council with ensuring that all chapters receive an up-to-date North Central District Convention Bid Checklist including participant numbers from the last three District Conventions.
The Committee recommends the following changes to the North Central District Convention Bid Checklist:
1) Hotel and conference facilities should conform with the Americans with Disabilities Act of 1990. This should be specified in writing.
2) It is recommended that the bidding school reserve a minimum of 200 rooms.
3) That the overflow facilities include name, location, proximity to other Convention facilities, transportation, and price be included in the bid.
4) All applicable taxes should be included in the final hotel and banquet prices.
5) The proposed budget should be based on the following numbers: 450, 550, 650, 750, and 850.
6) It is suggested that the delegates for all chapters be provided with table space during joint and separate delegation meetings.
We recommend that the District Councils charge the 2001 Convention Site Committee with identical charges.
At this time, the Committee has chosen not to slate a site for the 2001 North Central District Convention. We feel that the presented bid did not conform to the following:
1) The alternate date for convention has not been confirmed, and if it is used, the rooms will cost an additional $20 per room, per night.
2) The overflow locations for hotel site are located across town from the main hotel site.
3) Taxes were not addressed in the bid, and will cause the price to increase from that stated in the bid.
4) Verbal agreements with the hotel lacked written documentation to back them up.
5) The committee feels that various aspects of this bid require additional research to present the best possible convention for the district.
